Please note, signatures do not sync between OWA and the Outlook desktop app - if you send an email from OWA and do not have a signature created within OWA, then no signature will apply, even if you have a signature created within the Outlook desktop app.


Signatures in OWA

  1. Click the Settings cog wheel icon in the top-right and select "View all Outlook settings".
  2. In the window that appears, click the "Compose and reply" tab.
  3. In the "Email signature" section, enter a name for the signature (this can be anything, and is just used to denote which signature is which if you have multiple), as well as what you would like the signature to look like, in their respective fields. 
  4. Once you have the signature looking how you would like, click the "Save" button at the bottom of the window.
  5. If you want to make any changes to the signature in future, simply come back to this section and edit the signature to your liking, then click the "Save" button again.
  6. After saving, set when you want the signature to be applied from the drop-down menus in the "Select default signatures" section.
  7. Click the "Save" button at the bottom of the window again to save this change.



Signatures in Outlook Desktop App

  1. Begin composing a new email by clicking the "New Email" button in the bar at the top.
  2. Click on the "Signature" button in the bar at the top, and then the "Signatures..." option.

  3. In the window that pops up, click the "New" button to create a new signature.
  4. In the window that appears, enter a name for the signature (this can be anything, and is just used to denote which signature is which if you have multiple), and then click the "OK" button.
  5. In the "Edit signature" section, enter in what you would like the signature to look like.
  6. Set when you want the signature to be applied from the drop-down menus in the "Choose default signature" section.
  7. Once you're happy with the signature, click the "OK" button in the bottom-right.
  8. If you want to make any changes to the signature in future, simply come back to this section and edit the signature to your liking, then click the "OK" button again.
